Assistant, Site Services, Edmonton
Location and Reporting Structure
Reporting to the Superintendent, Site Services, this position will be based in Edmonton, AB.
Responsibilities
• Provide comprehensive administrative support to the Site Services department, including preparing correspondence, reports, presentations, meeting materials, and maintaining accurate departmental records and documentation.
• Coordinate and administer workforce schedules, rotation tracking, travel logistics, attendance records, and departmental calendars to ensure efficient support of site operations.
• Maintain and update departmental databases, trackers, work orders, inventories, and document control systems, ensuring information is accurate, current, and readily accessible.
• Consolidate operational data and generate reports, metrics, and summaries to support planning, decision-making, and continuous improvement initiatives within Site Services.
• Monitor, track, and follow up on action items, material requests, inventory requirements, and departmental commitments to ensure timely completion and operational efficiency.
• Act as a key liaison between Edmonton-based administration and site personnel by supporting handovers, coordinating information flow, and facilitating consistent administrative processes across rotating site crews, including occasional travel to site as required.
Desired Competencies and Requirements
• Two (2) years of administrative administrative, coordination, or office support experience, preferably in mining, construction, industrial, or remote-site operations.
• Certificate in Business Administration, Office Administration or related field; Equivalent combinations of education and experience will be considered.
• Experience with maintenance planning systems or administrative tracking tools (e.g., SAP or similar) considered an asset.
• Strong organizational and time management skills, with the ability to remotely support operations in a fast paced environment.
