Position
Office Coordinator, Edmonton
Location and Reporting Structure
Reporting to the Superintendent, Compensation & Benefits, this position will be based in the Edmonton Office, Canada.
Responsibilities
• Serve as the primary point of contact for inquiries, visitors, and internal communications by greeting and directing guests and vendors; responding to phone, email, and in‑person inquiries; monitoring shared inboxes to triage messages; and providing timely updates to Edmonton Office staff;
• Oversee daily office operations by managing supply inventory and tracking usage; coordinating routine maintenance for office equipment (printers, copiers, fax machines); monitoring the cleanliness and organization of shared spaces (kitchen, meeting rooms, training room, washrooms, storage areas); and ensuring all workspaces and common areas remain safe, accessible, and visitor‑ready;
• Draft, proofread, format, and distribute documents (letters, notices, memos, etc.) ensuring alignment with organizational templates, standards, and quality expectations;
• Coordinate meetings, appointments, events, and training by managing bookings, arranging travel and accommodations, securing meeting spaces, organizing business dinners, and supporting the planning and execution of staff meetings, workshops, and other events;
• Maintain office systems and administrative workflows by supporting recordkeeping processes, processing incoming and outgoing mail, and ensuring the accuracy, organization, and accessibility of physical and digital documentation; and
• Collaborate with warehouse and facilities teams on logistics and coordination of deliveries and storage needs and serve as a backup for opening the warehouse.
Desired Competencies and Requirements
• Two (2) years’ experience in office administration, customer service, or a coordinator role, demonstrating a strong commitment to high‑quality customer service.
• High school diploma or equivalent is required;
• Valid Class 5 Drivers License with a clean driver’s abstract is required;
• Proficiency with Microsoft Office Suite (Outlook, Teams, Excel, Word and PowerPoint); and
• Demonstrated ability to work independently, handle confidential information with discretion, adapt effectively in a fast‑paced environment, and consistently maintain a high level of reliability and adaptability.
