Travel Coordinator (Charter)

Position

 

Charter Travel Coordinator, Edmonton

 

 

Location and Reporting Structure 

 

Reporting to the Superintendent, Travel, this position will be based in the Edmonton Airport office, Canada. Work Start time is 5a.m Monday to Friday, Weekend work may be required.

 

 

Responsibilities 

 

•    Liaise with charter flight providers to schedule flights to and from the Goose Site according to operational needs;
•    Manage flight manifests, ensuring accurate passenger information and compliance with safety regulations;
•    Work closely with site teams to align travel schedules with project timelines and staffing requirements, optimizing efficiency while minimizing downtime; 
•    Communicate charter travel updates, changes, and bookings to existing employees, new hires and site;
•    Reconcile daily and monthly accounting statements related to charter flights and provide coding/input for accounting;
•    Work closely with site accommodations to ensure all scheduled travelers are registered in the site booking system (Innfinity);
•    Ensure luggage’s are properly tagged. Handle luggage concerns in case of delays or if it doesn't arrive with the charter flight, and arrange for its delivery; 
•    Maintain records and generate reports of charter bookings, no shows, and expenses; and
•    Ensure the smooth transition of employees from the charter flight to the site and to the commercial travel coordinator on the return trip home.

 

 

Desired Competencies and Requirements 

 

•    Three (3) years’ experience in high volume, multi-destination, chartered air service coordination;
•    Diploma in aviation management, travel or logistics is an asset;
•    Excellent organizational and time-management skills with the ability to prioritize tasks effectively; and
•    Ability to obtain and retain an Airport Restricted Area Identity Card in accordance with the Airport Restricted Area Access Clearance Program regulated by Transport Canada.

                                      

                                      


Compensation and Benefits

 

The annual salary for this role is $90,000.
